Sample Communication: Smart And Effective Working


Our audited financial results have just been published last week. When I look at them, it is clear we have suffered a big financial blow due to loss of critical care business after WHO PQ fiasco. We have moved from Rs 144.67 crore net profit during 2006-07 to a net loss of Rs 205.65 crore during financial year 2007-08, to be precise.

And if I look back in the last decade or so we have been having a continuous growth, almost doubling our revenue growth in last five years. Naturally, we cannot take this hit lying low and need to examine our own selves and to discover what all we did that led to this. I do not intend to blame either our enemies or ourselves for this but use this as an opportunity to find our weak spots and deal with them so that this never again happens to us in future. Our vision of 2010 is firm and this hit we take as a wakeup call to strengthen our muscles to achieve what we have set our goal in 2010 vision.

Success, if comes easily, loses its charm. It neither develops character of men nor it increases the hunger for further growth nor it develops confidence. Therefore I welcome this hit as a nature's exercise for us to develop our muscles to achieve greater success.

Look at our few success stories at various sites. Let me site few from our epicenter of all activities for WHO PQ, Bangalore. We never thought we could meet international standards in Autoclave validation specifications for our Indian make, relatively old autoclave. Our engineers and scientists at Bangalore have done precisely that. Look at their confidence after this success against all odds. They have this confidence because they overcame odds; it took them good number of days and nights of innovative trouble shooting to achieve that.

Another story of steam validation at Bangalore proves this point. Again it seemed like an impossible task when they began doing pure steam validation. But soon with their untiring efforts they could meet the specifications of pure steam test.

Many such success stories being written at Bangalore are proving beyond doubt that this hit is a blessing in disguise. We never knew our potential was so high. I am every day discovering our bright talent which I never knew existed with us. All the same, I have also come across some cases of QMS non compliance which we have dealt with firm hand. Our policy of Zero tolerance for unethical behaviour and reporting of data has sent a clear message across to all that we mean business and past mistakes will not be repeated. We have a clear mandate from WHO in their March,07 letter that we have to have a culture where excellence is the norm and unethical reporting is a taboo. We are implementing this in all seriousness and this is what I want to see at all sites. Excellence in all forms will be encouraged and rewarded. At the same time, mediocrity and unethical behaviour will have no tolerance.

I am fully aware that to achieve this culture of excellence and making Pradeep Biotech a highly respected Pharma company globally is very challenging goal for us. But through this fire of WHO PQ audit and our resolve to excel, we are going to emerge successful to continue our journey of excellence.

Sample Communication: Being A Star


I am sure you are feeling happy for being chosen as a Star of Pradeep Biotech Ltd. You are a star because you have the potential to excel and lead. You are one of our future leaders who have to shoulder the responsibility of bringing Vision 2010 to reality. We have decided to nurture you for this role.

I am reminded of a story where a mason was doing his work and somebody asked him, "What are you doing?" "I am building a wall of bricks," replied the mason. The person asked the same question to another mason who was doing his work much more diligently and sincerely," What are you doing?" The answer was little different, "I am building a temple." This mason's vision was broader and as a result his energy levels and motivations were far more satisfying than the one who was just building a wall.

In the same vein, I would like to say that you are building a world class pharmaceutical company which produces products that mitigate sufferings of mankind inflicted by innumerable diseases. You are contributing in making this world free from the suffering of disease. To prepare you for leadership role in this great cause, we are planning to provide you mentoring and a career path full of such experiences so as to make you an effective leader.

With this background, I would like to know from you some questions. What are your main concerns regarding your work and career? How would you like to develop yourself in your career? What kind of work experiences and skills you want? What is your vision for your own professional career? What roadblocks are frustrating you? Sample Communication: There is Many a Slip Between the Cup and the Lip


In the morning meeting Dine was the last to share his concerns. He was last but not the least. He shared his anxiety about the possibility of failure of second batch in WQ1, which was being held up for four days, because CIP could not be performed due to heater problem.

"Why could heater not be replaced immediately? Why it is taking four days to replace the heater?" asked many people, shocked by the delay. HP Sharma was quick to respond, " MM has not been able to get the same from vendors." Suddenly everybody turned to Vivek Pathak, MM person in the Meeting. "The vendor has stopped producing this heater. We will have to get it fabricated; I have asked for drawings and pictures."

"Do you know what it means to drain the batch? Do you how much does it cost? Do you know how production people feel when they fail for no mistake of theirs?" Barrage of questions came from Dine to Vivek Pathak. Before he could reply, Sharma chipped in, "I can get ten vendors in two hours who can supply such heaters but I am not authorized to talk to any vendor by MM. The process of procurement is so cumbersome; getting vendor code itself takes two days. All the process has to be through MM."

Dine takes a long breath of exasperation. "Please talk to anyone, be it Dr Bose, Alok or whoever but please get the material required by production within hours. Maintain inventory if required. We cannot afford to drain our batches for such reasons. Do you understand!!!!" There was sense of frustration and anger in his tone.

Santhosh Kumar Maurya joined in, "Why cannot some senior person here in Bangalore be authorized to make such purchases? We have already forwarded this proposal to Mgt but do not know what is the fate of this proposal."

Shaliesh Pandey responds to Santhosh that he is taking it up with Alok ji.

The above is just a snapshot of the issues emerging due to MM. More queries reveal that not a single engineer including Sharma is willing to go and talk to Ankit because of Ankit's discourteous behaviour. Sharma shared with me that when Ankit once insulted him, he asked for help from Mr Ranjit. "But even Mr Ranjit has raised his hands showing his inability to do anything to make Ankit mend his behaviour," added Sharma with hopelessness in his voice.

They say it is a fact that nobody can influence Ankit because he enjoys patronage of the "Powerful people." And Ankit openly challenges people to do whatever they want to do. I am not sure whether above samples of Ankit's attitude are a fact or myth. But this is the perception of people here.

However, please ensure that MM does not become a block in the effective and efficient operations here in Bangalore.

Sample Communication: Annual Day Address


When I look back at the year gone by, I go through gamut of emotions. It was a tough year full of many struggles as well as achievements. First hit was when we recorded a net loss in our books during the last financial year. Our major customer, WHO had not pre qualified our facilities. They suggested massive changes for us to be able to qualify. Tough times do not last but tough people do, as they often say. We are bouncing back from these setbacks and are optimistic of overcoming these hurdles with support from and hard work of all you. That is where our strength lies.

As Darwin said, "It is not the strongest of the species that survives, nor the most intelligent, but the most responsive to change". We are flexible enough to change with the changing circumstances.

We are working at all fronts to cope with the challenges. Increasing our customer base is one of them. Partnering for R&D is another. Expanding our markets in the wider world is our continuous endeavour. Slowly and steadily we are taking many tiny as well as giant steps towards making Pradeep biotec a world leader in the field of Biotechnology.

Since we can see far into our future as well as our past, we are able to see our current setbacks in proper perspective. Our 2010 vision is intact. In reality WHO PQ crisis is a good wake up call for us to vigorously pursue our journey of excellence. I am sharing with you a sense of satisfaction that we have made considerable progress in this direction. Every week you get one such story from our corporate office that shares our tiny and giant steps n that direction.

Let me hasten to add that our hunger for excellence is fully intact and this progress is only an encouragement for us to continue our journey relentlessly and not make us complacent. We have learnt many lessons through our past mistakes and putting all these lessons in practice day after day, week after week and month after month to continue our endless march towards excellence. Your support and hard work in this endeavour is what really counts.

I am fully conscious of hardships and difficulties involved in reaching our goals.

My teammates have worked long hours stretching upto 72 hours at times to fulfill production requirements. Our business development teams have devised novel marketing models and delivered them on ground. Our R&D labs are constantly engaged to deliver innovative solutions for patients. Our sales force is constantly on its toes to increase market share. I heartily appreciate the same. I feel grateful and proud for having got such a team with us.

It feels good when we get appreciation for our teams from our customers and partners. With great pride I share with you what CEO of Alex Corp,Britain, Mr Julian Alex, had to say about PRADEEP BIOTEC team and I quote, "We at Alex Corp believe that Pradeep Biotec will make an excellent future partner. However, the real test for us is coming very soon when WHO comes to inspect our facilities at Bangalore and Hyderabad in October. More than a year of our hard labour, full of sweat and tears, is going to be put to test. I know we have left no stone unturned to succeed in this. The time to show our grit has come. Our time to restore lost honour is this. I am waiting for that moment when WHO team will go through our sites without any negative observations and give clear go ahead for PQ. PRADEEP BIOTEC honour is in your hands and I am confident you will come out with flying colours. Tough times do not last but tough people do, as they often say. We are bouncing back from these setbacks and are optimistic of overcoming these hurdles with support from and hard work of all you. That is where our strength lies.

Expanding our markets in the wider world is our continuous endeavour, for instance we have signed an agreement with German agencies to sell xxx Vaccine. Our production in WQ1 for yyy and WQ4 for xxxhas started after a gap of one year. Our new Oncology unit in Hyderabad has gone on stream. Pune unit is back for supplying xyz to Govt of India. Slowly and steadily we are taking many tiny as well as giant steps towards making PRADEEP BIOTEC a world leader in the field of Biotechnology.

Since we can see far into our future as well as our past, we are able to see our current setbacks in proper perspective. We have covered a long distance since July last year when our Bangalore facility was delisted by WHO. I know we have all been working long and hard all this time. Today I am happy to inform that our relations with WHO have come on even keel because we have made massive improvements in our work culture and QMS.

In our meeting on 11th August with WHO authorities we presented our progress during last sixteen months. They have agreed to audit our Bangalore and Hyderabad facilities sometime during the window between 5th February and 1st March,2011.

Besides above, WHO has agreed to accept our product summary file for evaluation during January, 11 window. Last but not the least, WHO have agreed to re-evaluate our proposal to purchase ARM and finished products manufactured by us prior to delisting in August, 09 with some minor conditions.

Let me hasten to add that our hunger for excellence is fully intact and this progress is only an encouragement for us to continue our journey relentlessly and not make us complacent. Sample Communication: New Year Message


Beginning of New Year is a time to have a panoramic perspective on our journey for the year gone by and also to envision our future in the coming year.

Year 2010, as you all know, brought before us unforeseen challenges and there was a big fall with WHO disqualification. However, in 2011 we have gotten up from that fall, shook off the dust and have started running again to catch up in the race towards our vision 2020. We have got XXX order worth 200 crores from Govt. of India, three shipments of Belgium to Britain have been dispatched after our alliance with TTT of Britain for distribution, and have entered into a 50:50 strategic alliance with Alex Corp to develop, manufacture and market generic products in the Britain market with an initial set of 16 products.

In Bangalore production of xxx, yyy and zzz has restarted after implementation of new and improved QMS as per WHO requirements. In Hyderabad media fill is going on. We are very confident of clearing WHO PQ audit during February, 2013 leading to PQ during May, 12. For next six years we are preparing to launch many important vaccines like aaa, bbb, ccc, ddd, eee, abc and xyz. Strong organic growth is expected in both Domestic Generics business and in Export Branded Generics business to ROW markets in the coming years. This 'Fall of 2010' has strengthened rather than weakening us. Our QMS is much more robust and our people battle hardened. We have already developed and are working on developing many more revenue streams to ensure against any such future setbacks. It made us more creative, and we have started thinking out of the box to hasten change and solve intractable business issues.

As is clear from above, our future is bright but it demands the very best of our efforts and abilities. I am looking forward to the coming year with hope and optimism. I am proud of my team, you all, and deeply appreciate your hard work in creating this present. Of course we have made mistakes in the past, but they have taught us and we have converted them into lessons for our growth.

With these words, I wish to convey my best wishes for your bright future ahead in the coming year. May this New Year bring the rewards of our hard work for all of us and our families who have endured hardships along with us.

Sample Communication: Communication with Suppliers


Right now we are passing through severe winter. Currently it seems so uncomfortable and difficult to bear with these chilly conditions. All the same, we will enjoy spring more precisely because we have weathered these tough winters. If it was spring all the time, the joy would be missing from the spring season. It is the winter that makes spring so joyful!

So is our business situation today. We are passing through a temporary phase of tough conditions of cash flow because one of our major customer has asked us to meet certain Quality Management System requirements. It was a major hit for us in June, 2011 and badly affected our revenues during last 13 months.

It is only a matter of few months before this major revenue stream will begin flowing again. Moreover, we have in the meanwhile started other revenue streams including partnering for R&D and reducing our cash outflows in the same. Our exports to Britain have started since October,11. We have bagged a major order worth Rs250 crores from Government of India for xxx vaccine in October again.

All this has been possible because you as a supplier have supported us. You have been our partner in good times and supporting us during these extremely challenging times. I am fully aware of your hardships due to tight payment position at our end. You have dipped into your cash reserves to meet our supplies. I am deeply appreciative of this generosity towards us in our trying times. I am sure you understand that it is a short period of difficulty which shall pass soon. Evidence for the same is what I have shared above. We have met all our obligations in the past to our creditors. To us credibility of the market is supremely important and it is borne out by our past track record. I am confident of your support and we will pass through these difficult times with your generous partnership.

Sample Communication: Communication for Executives of all sites


During World War II Germany as well as Japan were badly destroyed. But now after 64 years, they are at the commanding heights of economic and industrial development. Bad times triggered a huge spurt in their growth and they have rebuilt themselves, nay progressed far beyond. Unlike those countries which were not much affected during WW-II and have not progressed that well.

The theme of my today's communication is precisely this. We have to not only catch up with our loss during the last 18 months since June, 08, but to hasten our progress much beyond our targets set earlier.

It is very much possible as has been demonstrated by all the great companies and countries of the world in the past century.

I want you all to put on your thinking and action caps. Collaborate together in your small teams, come out with great, new pragmatic ideas to create wealth for our organization and society while serving the customer needs. Indians are known for their intellectual grey matter and I know you are amongst the best minds of India.

I request, nay, I demand the very best at this time from you all. I want our R&D labs to come out with new molecules faster, our Pharma Sales and Marketing units to capture more markets, bigger market shares and profitable market segments, our Vaccine and Pharma manufacturing units to produce more with robust QMS.

I would like all of you to set stretch targets and realize them in the Year 2009. Last quarter of the financial year is on and we want you to exceed your targets during the closing quarter of FY 2008-09.

Our next two years are crucial for us to regain our prestige in the Biotechnology Industry. This is the right time to give this clarion call. This is the time to realize your potential in terms of what all you can achieve.

I assure you that we will give due recognition and rewards for the deserving. All the same, our tolerance for lackadaisical approach is very low and we will take swift action against any such attitude.

Please feel free to share any good ideas that can help us to achieve our commercial and production related targets faster. I would also encourage all leaders at all levels to give due considerations for any good suggestions from any level. We need everyone#39;s contribution towards this end and therefore like you to remove whatever blocks there maybe which stops good ideas from being implemented.

Please take this message to your hearts and do whatever possible in your capacity in the year ahead to help realize our dream of being the leader in Biotechnology Industry as per our Vision 2025.

Sample Communication: Our Journey


It is a matter of joy for all of us that WHO has acknowledged our massive transformation into a robust QMS based manufacturing set up for vaccines. On the 1st of February 11, the red letter day in our history, we regained our lost pride when we got a green signal for PQ. We need to submit required CAPA, pass tests of samples submitted and complete stability studies. It should not take us more than three months to do so and get our WHO Pre Qualification.

When I look back, these twenty months have been an emotional roller coaster for many of us at Head Office, Bangalore and Hyderabad. There were dark moments when there was no light at the end of tunnel and uncertainty and anxiety ran high. There were many deadlines we could not meet. It seemed as if our dream was too far away. Yet our hard and persistent endeavour has turned the dream into reality. The Sun has risen and we are hearing the chirping birds and experiencing the cool morning breeze. The Dark and Long Night is over, finally!

A great relief for me and you all!

In hindsight, I see the above crisis as a blessing in disguise for us. It has helped our team-mates to strengthen their creative, emotional and intellectual muscles. When our survival was at stake, it helped us to hasten the transformation of our culture into one of excellence. Further, we know who our true friends are. Our vendors and suppliers supported us during our cash flow crisis. We see them as important partners in our journey of growth. Moreover, we have been able to explore and start new revenue streams. Most important of all, we have learnt our lesson that we can at no time be less vigilant about our excellence in functioning across all sites. Constant vigil about our pursuit of excellence has been mutated in our DNA after this experience. We have paid hundreds of crores (the losses we suffered) to learn this important lesson which we will not forget ever!

In the end I wish to share my heartfelt thanks to every team member who contributed to make this success a reality. I feel privileged to have a great team in you all. It is your success and now you have to work towards greater successes in the coming years.
